Events that use hired glassware

Wine glasses are the most hired item in the glassware range. A wedding for 100 guests with a three-course dinner typically needs 300 wine glasses as a working minimum: one glass each for white with the starter, red with the main and either a fresh glass for dessert wine or the same glass reused. Add champagne flutes for the reception and you are looking at 400 glasses for a 100-cover wedding.

Award ceremonies and gala dinners follow a similar pattern. Champagne flutes for the reception, wine glasses through dinner, and often a dedicated water glass on the table. Premium events sometimes add a brandy balloon or port glass for post-dinner service.

Beer festivals need volume. A 300-person event over a full day needs at minimum 600 to 900 pint glasses in circulation to allow for breakage and the lag between the bar and the glasswash. Glass hire gives a better drinking experience than plastic and is practical for controlled outdoor settings.

Mobile bar operators at mobile bar events need a range of glasses to cover all the serves on offer. A mobile bar at a wedding or corporate event typically carries wine, champagne, cocktail glasses and tumblers as standard, with speciality shapes added for gin or whisky menus.

Quantities and ordering

Order in multiples of the transit crate quantity to reduce waste on packaging. A 10 to 15 per cent overage on your cover count is standard practice to cover breakage and the glasswash cycle during service. All glasses are priced per unit with live pricing online. Expo Hire delivers to venues across England and Wales. For large orders, book at least three weeks in advance. The Large Order Deposit Scheme lets you reserve stock for peak dates with a 25% deposit. Glasses can be returned without washing by adding the Send It Back Dirty service to your order. Breakage during normal use is covered by the Minor Damage Waiver; lost or missing glasses are charged at replacement cost.

Working out delivery costs is easy with Expo Hire; simply use our carriage calculator to find which of our branches is near to you. Tap your postcode in and it will confirm not only whether we cover that postcode or not, but also which of our 11 branches is closest to you and the cost for delivery from that branch, as well as the list of possible extra charges.

Once you have filled your basket and confirmed your delivery dates and postcode in the checkout, we will show you an itemised cost for delivery so you know exactly what you’re paying for before you place your order.

Can I hire glassware for a short-term event, such as a single day?

Yes, you can hire glassware for a short-term event, including a single day. However, our standard hire period is three days and no discounts will be provided for short term hires. We recommend hiring for at least 3 days to avoid issues with delivery, setup, and collection.

Do you offer delivery to private homes or only to event venues?

We deliver to both private homes and event venues. However, it’s important to note that Expo Hire UK is primarily a business-to-business supplier, so private customers will be treated as businesses in terms of terms and conditions, meaning the Consumer Rights Act doesn’t apply.

How far in advance should I place my order for glassware?

It’s recommended to place your order as early as possible. Availability can get tight, especially during peak periods. If you need glassware for delivery within seven days, please contact us via live chat or email to confirm availability.

What happens if I need to add more glassware after my order has been confirmed?

You can add more glassware to your order, as long as you do so at least seven days before delivery and items are available. Please check availability and place any additional orders promptly.

What should I do if my event gets postponed or canceled?

If your event is postponed or canceled, contact us as soon as possible. We offer a refund policy based on the timing of the cancellation. For cancellations more than 28 days before the delivery date, you can receive a 75% refund; within 28 to 14 days, a 50% refund; and less than 14 days, no refund is available.

Are your glassware products dishwasher safe?

Most of our glassware is dishwasher safe, though we always recommend handling more delicate items with care. Please check the product specifications or contact us for details. If you’re using a large quantity, hand polishing is suggested for formal occasions to ensure they’re perfect for your event.
